How do I match passengers and bags to a vehicle?
Two numbers decide most of it: how many people are travelling and how many large bags go in the boot. These are the capacities we work from, and the exact vehicle is confirmed with your quote.
- Sedan (Toyota Camry or Nissan Altima class): up to 3 passengers with 2 large bags.
- SUV (Toyota Prado or GMC Yukon class): up to 5 passengers with 4 large bags.
- Luxury executive car (Mercedes-Benz S-Class class): up to 3 passengers. Tell us your bag count so we can confirm it fits.
- Van (Toyota Hiace class): 6 to 14 seats, with luggage space depending on how many seats are used.
- Mini bus or coach: 15 or more passengers, with the coach size confirmed in the quote.
Models are given as “or similar”, so read each one as a class of vehicle rather than one particular car.
What counts as a large bag?
Think of a full-size suitcase of the kind passengers check in for an international flight. Cabin bags, backpacks, laptop cases and shopping bags come on top of that, and they need room too. The quote form asks for checked bags and cabin bags as two separate numbers for this reason, so give both instead of one total.
If your cases are bigger than a standard suitcase, say so. A vehicle that works on paper can feel tight once oversized luggage goes in.
When should I ask for the next size up?
Check both limits, because the bag limit often arrives before the seat limit.
- Three passengers with three large bags sit inside the sedan’s seat limit but over its listed bag space, so an SUV is the safer request.
- Four or five passengers point to an SUV. Six or more point to a van.
- A family with a pushchair and child seats usually needs more room than the headcount suggests. Count every child as a passenger, babies included.
- The executive car suits up to three passengers. If three guests are bringing more than a few bags, ask about the SUV instead.
What about golf bags, pushchairs and other bulky items?
Tell us before the quote, not at the kerb. List each item with a rough size: a golf bag, a pushchair (folded or not), a bike box, a surfboard, a musical instrument, a folding wheelchair or a large boxed purchase. The quote form has an “Oversized items” box for exactly this, and you can send the same list on WhatsApp.
Your airline sets its own rules for sports equipment, bicycles and instruments, including how they must be packed. Emirates, for example, directs passengers to the airline for its allowances on sports equipment. Check yours first, then send us the packed size, because the packed size is what has to fit in the vehicle. Whether it fits is confirmed in the quote.
How do I choose for a larger group?
A van seats 6 to 14, but the more seats are used, the less luggage space is left. Ten people with ten large bags is a different request from six people with six, so give us both numbers and the vehicle can be matched to each. For 15 or more passengers, a mini bus or coach is the usual answer. Teams carrying exhibition material or equipment should describe it, and the family and group transfers page has more on travelling together.
If your group sits between two vehicle classes, ask whether one larger vehicle or two smaller ones makes more sense. The answer comes with the quote.
Will my luggage change on the way back?
Often it does. An arrival usually involves the bags you flew in with. A departure can include gifts, shopping and the extra case you bought to carry them. Count again before you send the return request and tell us if the number has changed. The return and multi-stop guide shows what to send for each leg.
What if my bag count changes after I ask for the quote?
Message us on WhatsApp as soon as you know. A bigger vehicle depends on availability, so the team checks and confirms it with you instead of assuming. Free cancellation applies when you cancel at least 48 hours before pickup.
